  • When is the Annual Meeting held? The Association is required to hold the Annual Meeting of the Members within 60 days of the close of the fiscal (calendar) year, Article II, Section 2 of the Bylaws. It is usually the last Tuesday in February. Homeowners will receive a notice via postal mail. The notice announces the meeting, calls for candidates to run for the Board, includes a Proxy for those that are unable to attend, and includes a copy of the Budget.

  • Is membership to the Association mandatory? Yes

  • How much is the Annual Assessment and when is it billed? $180. Billing is in December. Article IV, Section 3 of the Covenants.

  • What happens if I don't pay the Assessments? If an Assesment is more than 30 days past due, a lein may be placed on the property followed by legal suit, Article IV Section 6 of the Covenants.

  • Who should I contact to report a violation of the Covenants? Call Keystone Partners at 770-570-7722 .

  • How do I get ARC approval for a new fence, basketball goal, etc.? Click here to download the ARC's PMAR form and give it to an ARC member.

  • Where can I buy a replacement mailbox? Although the white Solar Group ST10W mailbox has been discontinued by the manufacturer, a rust resistant model ALM11W is available. Check locally or order online from www.doitbest.com

  • What's some of the history of Ascot Glen?
  • Our developer, Hawks Development Inc., purchased the 30 acre tract that is now Ascot Glen from Geraldine O'Dell Lockaby in January, 1995. The property had been in the Lockaby family since 1984. The tract was subdivided into 76 lots and was rezoned to RA-4 by Cobb County. Our 76 homes were built between 1996 and 2004 in two phases by seven independent builders. Unit II consists of all the lots on Ascot Terrace, except for the first two that border Ascot Run. The exclusive "new home sales" real estate agency was Metro Brokers / Better Homes & Gardens.

    Community Club Management was our full service management company at $300 per month until the April 12, 1999 Annual Meeting where the HOA was turned over to the homeowners. At that time, CCM notified the homeowners of a projected budget deficit and that they would be terminating our agreement at the end of the month. The newly elected Board of Directors asked CCM to extend their agreement until May 31 so that they may have more time to review the situation. The Board looked for an affordable full service management company. None were to be found at a rate that the HOA could afford, as the lowest quote was in the $600 per month range. The Board voted to enlist the services of Heritage Management for accounting and covenant enforcement functions at $200 per month beginning July 1, 1999. Heritage would not be doing "on property" services as CCM once did. Through several cost cutting measures, we were able to turn around a projected $3,304 deficit into an $84 surplus for 1999. Today, our HOA is debt free and has sufficient reserves to cover insurance deductibles and most other unexpected expenses.
